AI Tools That Actually Help IT Admins
Simple and practical AI tools that save time and make an IT Administrator's life easier.
There is a lot of excitement around Artificial Intelligence (AI) these days. Every day we hear about new AI tools that claim to change the world. But as an IT Administrator, I always ask one simple question:
"Will this tool actually help me in my daily work?"
The truth is, most IT professionals don't need fancy AI tools that generate artwork or write poems. We need tools that solve real problems, save time and improve productivity.
After using different AI tools in my daily work, I found that AI can become a very useful assistant if we use it wisely.
Let's look at the tools that actually help.
1. ChatGPT — Your Everyday IT Assistant
ChatGPT is probably the AI tool I use the most.
I use it for:
- PowerShell scripts
- Batch files
- Troubleshooting Windows issues
- Writing emails and documentation
- Creating SOPs
- Preparing procurement specifications
- Learning new technologies
Instead of spending 30 minutes searching through Google and forums, I simply explain my problem and get practical suggestions.
2. Claude — Best for Large Documents
Sometimes we receive huge technical documents from vendors and manufacturers.
- Firewall Documentation
- Server Manuals
- Software Guides
- Policies and Compliance Documents
Claude does an excellent job of reading lengthy documents and explaining them in simple language.
Instead of reading hundreds of pages, I ask Claude to summarize the important points and implementation steps.
3. Windsurf — Build Applications Without Being a Developer
Many IT Administrators are not software developers. Yet we often need small tools for our organizations.
Using Windsurf, I have started building:
- Inventory Management Tools
- Library Management Systems
- Subscription Management Portals
- Internal Dashboards
- Google Apps Script Projects
You simply explain your requirements in plain English and AI helps you write the code.
You don't have to become a full-time programmer to build useful applications anymore.
4. NotebookLM — The Best Tool for Learning
NotebookLM has become one of my favourite tools for learning.
You can upload:
- PDF Files
- Policies
- Training Material
- Research Papers
- Technical Documents
Then simply ask questions like:
- Explain this in simple language.
- Give me a summary.
- Create a quiz.
- What are the important points?
It feels like having a personal tutor available whenever you need one.
5. AI Makes Automation Easier
Many repetitive IT tasks can be automated.
- Software Installation
- Browser Updates
- User Account Creation
- Backup Scripts
- System Cleanup
- Inventory Reports
AI helps generate scripts quickly. Of course, I always test scripts before using them in a production environment.
6. AI Helps With Documentation
Documentation is something every IT department struggles with.
- SOPs
- Policies
- User Manuals
- Asset Reports
- Meeting Notes
- Technical Presentations
AI gives you a good starting point and saves a lot of time.
7. Learn New Technologies Faster
Technology changes rapidly. AI tools can help you understand topics like:
- Cybersecurity
- Cloud Computing
- Networking
- Linux
- Virtualization
- Firewall Management
- Google Workspace
- Microsoft Technologies
The best part? AI never gets tired of answering questions.
A Few Things to Remember
- AI is not always correct.
- Always test scripts before implementation.
- Verify technical information.
- Do not upload confidential organisational data.
- Use AI as your assistant, not your replacement.
Final Thoughts
AI will not replace IT Administrators. However, IT Administrators who learn to use AI effectively will definitely work smarter.
You don't need every AI tool available in the market. Start with one or two tools that solve your daily problems.
My recommendation:
- ChatGPT — Everyday IT tasks
- Claude — Large documents
- Windsurf — Building applications
- NotebookLM — Learning and research
Think of AI as another tool in your toolbox—just like a server, a firewall, or a network switch.
If AI can save you even one hour every day, that is more than 365 hours in a year. That's definitely worth exploring.
